There are several positions that remain open. Our board is looking for dedicated parents who wish to help maintain Coginchaug Little League as the premier Little League organization in Eastern Connecticut. Board meetings are held the second Tuesday of each month, typically at the Durham Town Hall 3rd floor at 7 or 7:30 PM. Please contact any board member for more information about becoming a director.

Our new board of directors greatly appreciates the support of our parents and the entire community in the coming year.

 

 

Website Coordinator

1. Assigns administrative rights and passwords to CLL board members and volunteers as deemed appropriate.

2. Maintains the daily operation and function of the CLL website. 

3. Receives all email questions via the CLL website and directs the email to the appropriate CLL board member when appropriate.

4. Sets up the number and name of all teams from all leagues (once sponsor names have been determined by the Sponsorship Director) for both the spring and fall little league seasons.  Assigns all managers to each team to assist Registrar with player/coach registration.

5.  Adds any pertinent forms (ex. Volunteer application, scholarship application, etc.) under the “Documents” section of the CLL homepage.

6. Creates online stores for ticket sales and fundraising on the CLL website.

 

Information Director

1. Posts little league news and events on the CLL home page, CLL facebook page, Town Times and Patch.com.  Posts little league meetings and events on the CLL website calendar.  Writes articles for Town Times about current CLL news (opening of new concessions stand, PCA workshops, etc.)  or works with local reporters to write articles relevant to CLL.

2.  Sends out emails at the request of CLL board members pertaining to relevant little league news and information.  Sends out weekly CLL news emails to all CLL members.

3.  Adds incoming CLL board members onto the CLL homepage in October following annual elections.  Sends new board member list to Durham to update on their community website.

4. Help organize and plan the CLL Open House Night with the 5/6 year T-ball Director in late January.

5. Get CLL board members to write a monthly CLL column in the Town Times (column needs to be between 300-500 words and to be written in the first person)

6. Chairs the Fundraising Committee.  Works with the New Britain Rock Cats to plan and advertise for CLL Family Day every spring.  Works with the committee to plan and implement any additional fundraising events. (ex. Merchandise via Billings Sports, Esca Wine Tasting, etc.)

7. Gets approval from District 13 School Superintendent for any information to be distributed via e-bulletins through local schools. (ex. Beginning of online registration, CLL Family Day at the Rock Cats, etc.)

 

Registrar

1. Receives all birth certificates (via email or regular mail) for all incoming players to little league and checks off appropriate box on the CLL website.

2. Assigns all players, coaches and managers in every league of CLL onto their respective teams once the teams have been set up on the website for both spring and fall little league seasons.

3. Makes any changes or updates to team rosters during the course of the little league season.

 

TBall Director

1. Organize the annual Open House Night with help of a committee to welcome newest players to CLL.  This is usually held the end of January/early February.

2. Make teams according to age group and according to coaches who have signed up.

3. Find additional coaches and assistant coaches for teams as needed.

4. Assign kids to correct team associated with parent sponsors.

5. Communicate with board to order shirts for number of teams and number of kids per team.

6. Conduct safety meeting with all coaches before the start of the season.

7. Meet equipment director to get equipment and shirts and deliver them to team coaches.

8. Organize a week-long clinic run by board members to help educate new coaches on proper drills/practice skills to teach players during the first two weeks of tball.

9. Finalize schedule of games. Usually 12 weeks on Mondays and Tuesdays however director can make games any days they would like.

10. Hand out trophies to each coach when they come in.

11. Collect the equipment bags at end of season and return to equipment director.

 

Concessions Director

  1. Recruit and organize a concessions committee before the current season begins.

  2. Supply Treasure and/or Concession Treasurer with committee members names and contact info.

  3. Delegate responsibility to committee members including but not limited to:

      Purchasing food, supplies and necessary paper products.

      Contacting the Lyons organization for concession help on opening day.

      Contacting the cleaning service to wash dishes and utensils.

      Updating the register and sign to current menu.

Coordinate with the Schedule Director to schedule teams for concession duty.

Schedule shift managers to open and close stand for teams.

Schedule a concessions open house before opening day for members to come in and review equipment and safety procedure.

 

  1. Inspect equipment and see that proper maintenance is done.

  2. Ensure safety procedures are posted and are being used by everyone who volunteers at the stand. 

  3. Coordinate with the Information Director to inform members of changes in concessions.

  4. Coordinate any post season  and tournament concessions openings.

  5. Keep Board of Directors informed of current problems, status and/or changes.

  6. Request appropriate permission from President and/or Board of Directors for items not covered in normal operations or big ticket purchases.

  7. Coordinate with Concessions Treasurer for:

    Daily start up cash and start up procedures.

    Closing procedures and cash deposits to safe

    Verify any purchases and deposits.

    Spare change for register is current and accounted for.

 

Duties of Fall Ball Director

 

a) Work with District 9 and other leagues in District 9 to establish a set of opponents.

b) Working with website manager get registration set up for each program level

c) Pursue assistant directors for each level.

 

All items below can be coordinated through assistant directors if they are assigned.

  1. Set number of teams and head and assistant coaches

  2. Assign players into teams and order uniforms and request equipment based on assignments

  3. Schedule and run coaches meeting for safety review, draft and rules review

  4. Coordinate sponsors for each team

  5. attend scheduled meetings with other towns for rules and scheduling purposes. Distribute rules, directions and schedules to all coaches.

  6. Arrange for umpire coverage of each home game

  7. Monitor Coaches & Teams though out season

  8. Work with Concession Director to have concessions open for Home Games

  9. Work with District for end of season Tournament

  10. Manage schedule issues arising from weather, field availability, team cancellations and other issues.

 

President

The President shall:

 
  1. Conduct the affairs of the Local League and execute the policies established by the Board of Directors.

 
  1. Present a report of the condition of the Local League at the annual meeting.

 
  1. Communicate to the Board of Directors, such matters as deem appropriate, and make such suggestions as may tend to promote the welfare of the Local League.

 
  1. Be responsible for the conduct of the Local League in strict conformity to the policies, principles, Rules and Regulations of Little League Baseball, Incorporated, as agreed to under the conditions of charter issued the Local League by that organization.

 
  1. Designate in writing, other officers if necessary, to have power to make and execute for/and in the name of the Local League such contracts and leases as may have received and prior approval of the Board.

 
  1. Investigate complaints, irregularities and conditions detrimental to the Local League and report thereon to the Board or Executive Committee as circumstances warrant.

 
  1. Prepare and submit an annual budget to the Board of Directors and be responsible for the proper execution thereof.

 
  1. With the assistance of the Player Agents, examine the application and supporting proof-of-age documents of every player candidate and certify to residence and age eligibility before the player may be accepted for tryouts and selection.




 

Vice President - Boys & Girls

The Vice Presidents shall:

 

a) Be responsible for designating the use of the fields by the divisions, i.e., Farm, Minor,      Major, etc.

 

b) Be responsible for mediating problems within their respective division.

 

c) Supervise all Directors in their respective division.

 

d) Develop ideas to improve their divisions and present to Board for approval



 

Secretary

The Secretary shall:

 
  1. Be responsible for recording the activities of the Local League and maintain appropriate files, mailing lists and necessary records.

 
  1. Perform such duties as are herein specifically set forth, in addition to such other duties as are customarily incident to the office of Secretary or as may be assigned by the Board of Directors.

 
  1. Maintain a list of all Regular, Sustaining and Honorary Members, Directors and committee members and give notice of all meetings of the Local League, the Board of Directors and Committees.

 
  1. Keep the minutes of the meetings of the Members, the Board of Directors and the Executive Committee, and cause them to be recorded in a book kept for that purpose.

 
  1. Shall conduct all correspondence not otherwise specifically delegated in connection with said meetings and shall be responsible for carrying out all orders, votes and resolutions not otherwise committed.

 
  1. Notify Members, Directors, Officers and committee members of their election or appointment.

 

Treasurer

The Treasurer shall:

 
  1. Perform such duties as are herein specifically set forth and such other duties as are customarily incident to the Office of Treasurer or may be assigned by the Board of Directors.

b)  Receive all monies and securities, and deposit same in a depository approved by the

     Board of Directors.

 

c)  Keep records for the receipt and disbursement of all monies and securities of the Local  

     League, and approve all payments from allotted funds and draw checks.

 

d)   Be a member of the Budget Committee.

 

e) Be responsible for providing a financial report at the President's request and at the annual

    meeting

 

f)   Be responsible for submitting the financial statements to Williamsport as required.

 

 

Player Agent - Boys and Girls

The Player Agents shall:

 
  1. Record all player transactions and maintain an accurate an up-to-date record thereof.

 
  1. Receive and review applications for player candidates and assist the President in checking residence and age eligibility.

 
  1. Provide the Vice Presidents with a list of players eligible for transfer to or from the minor leagues according to provisions of the Regulations of Little League Baseball.

 
  1. Prepare a roster of registered players by division

 
  1. Prepare for the President's signature and submission to Little League Headquarters, team rosters, including players' claimed, and the tournament team eligibility affidavit.

 
  1. Prepare for -the Presidents signature the notification to Little League Headquarters of any subsequent player replacements.

 

Director of Fields & Maintenance - Boys & Girls

Director(s) Fields & Maintenance shall:

 
  1. Supervise the maintenance of all playing fields, fixed field equipment, and spectator areas.

 
  1. Organize the Opening and Closing of all Fields including netting, padding & signs etc.

 
  1. Maintain field supplies at each field though out the season



 

Director of Safety

The Directors of Safety shall:

 

a) Create, maintain, submit and distribute League Safety Plan to Williamsport

 

b) Maintain supply of first-aid kits including ice packs at each field during season

 

c) Attend coaches meeting and discuss safety plan & procedures to coaches

 
  1. Ensure that all appropriate safety precautions are followed and that safe environments exist at all games and practices.

 
  1. File the necessary paperwork with Williamsport in the event of an accident or injury in their respective division.

 

Umpire in Chief - Boys & Girls

The Umpires in Chief Shall:

 
  1. Be responsible for training, scheduling, and paying umpires for all games.

 
  1. Coordinate a pre-season clinic for all umpires.

Sponsorship Director -

  • Solicits and secures local sponsorships to support league operations to include team, billboard and website sponsor

  • Collects, review and recommend sponsorship opportunities to board

  • Maintains records of monies secured through sponsorship  initiatives

Fundraising Director

  • Collects and reviews  fundraising opportunities

  • Organizes and implements approved league fundraising activities

  • Coordinates participation in fundraising activities

  • Maintains records of monies secured through  fundraising initiative

Equipment Director:

The Equipment Director Shall:

  • Inspect,orangize and group equipment for all divisions

  • Suggest purchases to the board

  • Work within budget to allocated all equipment need for the season

  • Work with Field Director to maintain supplies needed for field

  • Hand out equipment as needed – collect at end of season

 

Scheduler:

The Scheduler shall:

  • Collects all schedules for Division Directors

  • Maintain Master Scheduler on Website

  • Advise Division Directors of open field and times to maximize use of all fields

 

Fall Ball Director:

The Fall Ball Director Shall:

 
  • Setup Registration for the Fall Ball Season

  • Split of teams to maintain balance among teams

  • Enlists Manager & Coaches for each team

  • Attend Division Fall Ball Meeting

  • Help create Schedule

  • Schedule Umpires to cover games

  • Monitor Coaches & Teams though out season

  • Work with Concession Director to have concessions open for Home Games

  • Work with District for end of season Tournament

 

Director At Large:

The Director at large Shall:

 
  • Take on certain projects or job as directed by board

  • Assist on committees

  • Assist with any of Director as needed

  • Make suggestions in their area of expertise
